How many appointments your studio needs each month
Compare what each appointment contributes after variable costs with the fixed expenses and pay you need to cover.
Separate the costs
Fixed expenses remain even when bookings fall. Variable costs depend on each appointment, including supplies and payment fees. Count every cost once and work with revenue excluding indirect taxes.
Contribution per appointment
Simplified example without payment fees: an appointment brings in €32 excluding tax and uses €4 of supplies. Its contribution is €28. With €504 of fixed expenses and €1,260 of target pay, you need €1,764: 1,764 ÷ 28 = 63 appointments. Round up if the result is not a whole number.
Check capacity
Twenty working days with six appointment hours per day provide 120 hours. If each appointment takes a full hour, 63 appointments use 52.5% of capacity. Include preparation and cleaning and allow for breaks and administration. Having room does not guarantee bookings.
Different services and cancellations
Weight contribution and duration by your real service mix; do not use your highest price as the average. Prepare lower, typical and higher occupancy scenarios within your capacity. Count completed, paid appointments, not unpaid cancellations. Keep forecasts separate from actual results.
The example covers only the included costs; it is not additional profit and excludes personal taxes, investments and omitted expenses. If an appointment makes no positive contribution, increasing its volume does not solve the problem.
